Job Title: Executive Operations Coordinator
Location: Middletown, NY
Salary: $65,00 to $70,000 annually
Seeking an Executive Operations Coordinator for local nonprofit to provide high-level support to executive leadership while helping drive organizational effectiveness, Board governance activities, fundraising administration, and agency-wide operational coordination. This role is ideal for a highly organized professional who thrives in a fast-paced environment, manages multiple priorities with discretion, and enjoys supporting mission-driven initiatives.
Responsibilities:
- Provide executive-level administrative and operational support, including calendar management, meeting coordination, reporting, presentations, and strategic initiative tracking.
- Coordinate Board of Directors, committee, and leadership meetings, including agendas, materials, meeting minutes, governance records, and follow-up activities.
- Support fundraising and donor relations efforts through database management, donor communications, sponsorship tracking, event coordination, and campaign reporting.
- Assist with organizational operations, special projects, HR administrative functions, onboarding coordination, personnel documentation, and agency-wide communication initiatives.
Qualifications:
- Associate’s degree required; Bachelor’s degree preferred in Business Administration, Nonprofit Management, Human Resources, Communications, or a related field.
- Three to five years of administrative, executive support, nonprofit operations, or organizational coordination experience.
- Strong proficiency with Microsoft Office Suite, Adobe Acrobat, virtual meeting platforms, and database systems.
- Excellent written and verbal communication skills with the ability to draft professional correspondence, reports, and presentations.
- Experience supporting executive leadership, Board governance, nonprofit operations, donor databases, fundraising systems, or CRM platforms preferred.
- Ability to maintain confidentiality, exercise sound judgment, and manage multiple priorities independently.
- Valid New York State Driver’s License required.
